FAQ(Please Read Before Contacting Us)
◼️To Those Responsible for Writing Letters of Recommendation or Academic Transcripts
- It is the applicant (student)’s responsibility to inform you of the contents, deadlines, formats, and other requirements related to letters of recommendation and academic transcripts.
- Please *do not* password-protect the files for either the letter of recommendation or the transcript. Also, include the applicant’s name in the file name.
- If the applicant is submitting these documents on behalf of recommenders/ school counselors, we only accept sealed submissions sent by postal mail.
- When submitting transcripts in electronic format (PDF), please combine all pages into a single file.
If the school abroad (outside Japan) cannot provide the transcript in the same format as ones submitted to Japanese universities or if the grading system does not follow the standard five-grade scale and the school is unable to convert the grades, please submit the official transcript from the school abroad along with the following three items provided as comments by a counselor or homeroom teacher: (1) An explanation of the grading criteria; (2) The student’s rank in their grade; (3) Details of extracurricular activities.
- For schools that do not assign class rankings, please write the letter of recommendation or add comments on the transcript in a way that helps convey the applicant’s academic performance. This may include explanations of the grading criteria, distribution of evaluation scores, comments on internal exam results, or other relevant academic information.
In most cases, if you have not received the notification email for the “Transcript/Recommendation Letter Uploader,” it is due to an incorrect email address entered by the applicant, the email being sorted into the spam folder, or specific mailbox settings.
First, please confirm with the applicant that your email address has been correctly entered (in half-width characters) on the online application form.
Additionally, please check your spam folder and ensure that emails from no-reply@verificationemail.com are not being blocked by your mailbox settings. If the issue persists, please contact us at the email address below.- Please note that if the automatic translation feature is enabled on your web browser, the applicant’s name may be incorrectly spelled. Please use the English mode that you can toggle on the right corner of the portal for an accurate English spelling.
